Office 365 to Gmail migration

1. Pre-migration configuration for Microsoft 365 to Gmail migration

   Before commencing the migration process from Microsoft 365 to an IMAP server, the following pre-migration tasks require attention:

   For the source Microsoft 365 server:

   • Ensure you have a global admin account with a mailbox for Auto Registration of the EdbMails application on your Entra ID (Azure Active Directory). For the Manual Registration method, you can use either a global admin account or any user account with full access rights.
   • Ensure you have sufficient internet bandwidth for the Office 365 to Gmail migration.

   For the target Gmail server:

   • Get the email address of your gmail account and app password

   • If you are migrating multiple mailboxes, download the sample CSV file from the EdbMails IMAP login window and update it with the email addresses, passwords, Gmail hostname, and port numbers.

2. Office 365 to Gmail migration Step-by-step procedure

   EdbMails simplifies the migration of emails from Office 365 to Gmail with its intuitive features. Follow the steps below to ensure a smooth Office 365 to Gmail migration while keeping your data secure throughout the process.

   1. Step 1: Download and Install EdbMails software

      • Download and install the EdbMails application on your computer having Windows Operating system.

      • Launch the EdbMails application, enter the email address and password you used to create your account on the EdbMails website, and click the 'Login' button. Alternatively, you can click the 'Start Your Free Trial' button.

        

      • Choose 'Office 365 Migration' from the dropdown options.

        

   2. Step 2 : Connect to source Office 365 server

      • In the 'Connect to Office 365 (Source)' window, select your preferred method for secure OAuth-based modern authentication. The default 'Auto Registration' method requires Global admin access. Alternatively, you can use a Global admin account or any user account with full access rights for the Manual Registration method.

      • Choose the required connection method

        

      • Log in on the Microsoft sign-in page using a global admin account that has an associated mailbox.

        

      • Accept the required permissions

        

      • If you have previously set up an Office 365 connection with EdbMails, your list of mailboxes will be saved and can be reused. For a new connection, click the ‘No’ button to access mailbox loading options.

        

      • EdbMails automatically retrieves mailboxes from your source Office 365 server. If the automatic loading option does not display the necessary mailboxes, you can load mailboxes using a CSV file. Additionally, you have the option to load mailboxes from a previously saved list.

        

   3. Step 3: Select the mailboxes

      • Choose the mailboxes and folders from the left pane of the main migration window.

        

      • Click 'Migrate to IMAP' to establish a connection with the target Gmail server.

        

   4. Step 4: Connect to the Target Gmail Server

      • To connect to a single Gmail account, check the ‘Single User / Account Migration’ box. Next, select ‘Gmail [imap.gmail.com]’ from the hostname list, enter the email address and Gmail app password, and click the ‘Login’ button.

        

      • To migrate multiple mailboxes, select ‘Multiple (bulk) Users/Accounts Migration’ and then click the ‘Load Mailboxes From CSV File’ button.

        

      • Download the sample CSV file

        

      • Update the CSV file with the necessary details, including email address, password, hostname, and port number, and then save the changes.

        

      • Next, browse and load the CSV file.

   5. Step 5: Source and target server mailbox mapping

      • Choose the required option to map the mailboxes

        

      • EdbMails automatically maps mailboxes from the source server to the target server. You can also manually map mailboxes and folders, align source folders with the corresponding folders on the target server, or use a CSV file for mailbox and folder mapping.

        

      • EdbMails allows you to customize your Office 365 migration process with precision. You can selectively migrate data by applying filters such as date range, sender, recipient, Cc, Bcc, read/unread status, and attachment names. Additionally, you have the option to skip standard and custom folders.

        

   6. Step 6: Start Office 365 to Gmail migration operation

      • After mapping the mailboxes, enter the job name and start the migration. Once the migration is complete, EdbMails will show a confirmation message. Click the ‘View Log’ button to review the migration report. Additionally, log in to your target Gmail account to verify the migrated items.

        

3. Office 365 to Gmail Post-migration configuration

   After completing the migration, update your MX records to direct incoming emails to the new server.
